Executive Assistant to Co-Founder & CEO

I'm excited to be partnering with an ambitious AI scale-up tackling one of financial services' biggest headaches: operational drag.

As the business enters its next phase of growth, it is looking for an exceptional Executive Assistant to become the trusted extension and operational co-pilot to its Co-Founder & CEO.

The business has scaled rapidly over the past year and is on track to double in size over the coming 12 months, while continuing to build out its wider Office of the Founders.

You will work primarily 1:1 with a forward-thinking, highly driven Co-Founder & CEO who is building at pace and values focus, ownership and high standards. This is a role for someone who enjoys being close to decision-making, thrives on momentum and wants to play a meaningful part in a company's growth story.

As this is the CEO's first Executive Assistant hire, you will have a rare opportunity to shape the role from the ground up. You will help establish the working rhythms, systems and ways of operating that allow a busy founder to stay focused on the highest-value work. You will not be stepping into somebody else's legacy processes; you will be helping build the blueprint for an exceptional founder–EA partnership.

The successful candidate will sit at the centre of a collaborative Office of the Founders, working alongside three co-founders, a Chief of Staff, Head of Finance and incoming Founders' Associates. While your primary partnership will be 1:1 with the CEO, you will also support the wider founder office around team events and off-sites.

You will create structure around a busy founder, protect their time, anticipate what is coming, keep momentum behind key priorities and remove operational noise from their day.

Key responsibilities

  • Calendar & time protection: Take ownership of a complex and fast-moving diary, proactively structuring weeks, protecting focus time and creating clear meeting rhythms.
  • Meeting preparation & follow-through: Prepare agendas, briefing materials, meeting notes and follow-up actions, ensuring important decisions and commitments move forward.
  • Global Travel Management: Manage frequent international travel end to end, including detailed itineraries, logistics and last-minute changes.
  • Founder-office coordination: Support communication, stakeholder coordination and priority tracking across the founder office and wider business.
  • Events & off-sites: Help plan and deliver team events, off-sites and company-wide meetings alongside the founders and wider leadership team.
  • Proactive operational support: Conduct research, coordinate ad hoc projects and spot what is missing—bringing calm, judgement and structure to a fast-moving environment.
  • Strategic partnership: Build a trusted working relationship with the CEO, learn their preferences and working style, and continually improve the systems around them.

What we're looking for

  • At least five years' experience as an Executive Assistant, Personal Assistant, Founder's Associate or in a comparable high-trust support role.
  • Experience supporting a founder, CEO or senior executive in a fast-paced scale-up, technology business or entrepreneurial environment.
  • Exceptional diary management, prioritisation and time-protection skills.
  • Strong judgement, discretion and stakeholder-management ability.
  • Clear and confident written communication, with excellent attention to detail.
  • Comfortable working independently, making sensible decisions and taking ownership without waiting to be asked.
  • Calm, adaptable and resourceful when plans change or the pace increases.
  • Strong technology literacy and confidence using Google Workspace, Slack and modern productivity tools.
  • Someone who enjoys being embedded in an office-based, collaborative environment.

What's on offer

  • Base salary of up to £60,000, depending on experience.
  • A visible, high-impact 1:1 role supporting a Co-Founder & CEO at the heart of a scaling AI business.
  • The autonomy to shape the role from day one and build the operational foundation for a high-leverage founder partnership.
  • Five days per week in a collaborative, energetic office in Farringdon, London, with flexibility where needed.
  • Personal mentoring and structured onboarding support during your first 90 days.
  • Meaningful exposure to founders, leadership decision-making and the inner workings of a high-growth company.
  • Long-term scope to grow alongside the business as it scales.

If you are an experienced, proactive EA who thrives in founder-led environments and wants a role where you can make a visible difference from day one, I'd love to speak with you.
